Privacy & Legal Stuff

Last updated: October 24, 2025

Look, we're not gonna bore you with legal jargon written by suits who've never held a wrench. This is our straightforward take on how we handle your info when you deal with us at Halrion Ascendant. We respect your privacy 'cause we'd want the same if roles were reversed.

When you bring your ride to our shop or reach out through our site, we're gonna need some basic stuff to do our job right:

  • Contact details - your name, phone number, email. Pretty standard, can't call you about your car without it.
  • Vehicle info - make, model, year, VIN when necessary. Each build's different and we gotta know what we're working with.
  • Service history - what work we've done on your machine. Helps us track modifications and maintain consistency.
  • Payment info - we process this through secure third-party systems, don't store full card numbers on our end.
  • Website activity - basic stuff like IP address, browser type, pages visited. Standard website analytics.

We're not in the business of collecting unnecessary data. If we don't need it to tune your engine or fabricate your custom exhaust, we don't want it.

Here's the deal - your info stays with us for legitimate shop operations:

  • Service delivery - scheduling appointments, ordering parts specific to your build, completing the actual work.
  • Communication - updates on your vehicle, appointment reminders, answering questions about modifications.
  • Payment processing - obviously gotta get paid for the work we do.
  • Record keeping - maintaining service history for warranty work and future reference.
  • Occasional updates - if you opt in, we might send info about new services or special deals. You can unsubscribe anytime, no hard feelings.
  • Legal compliance - sometimes we gotta keep records for tax purposes or if there's a warranty claim.

We're NOT selling your data to marketers or spamming you with junk. That's not how we roll.

We take security seriously, kinda like how we torque down head bolts to spec:

  • Digital security - our systems use industry-standard encryption. Website runs on secure servers with SSL certificates.
  • Physical security - paper records are kept locked up in the shop office. Only our core team has access.
  • Limited access - only staff who need your info for their job can see it. The fabricator doesn't need your credit card, the accountant doesn't need your service notes.
  • Third-party processors - when we use external services (like payment processors or appointment schedulers), we make sure they're reputable and compliant with Canadian privacy laws.
  • Regular updates - we keep our systems updated and patched. Same attention to detail we apply to engine builds.

That said, no system is 100% bulletproof. We do our best but can't guarantee absolute security - same as we can't guarantee you won't scratch your wheels on a curb after we install your new suspension.

Yeah, we use cookies. Not the edible kind (though those are usually in the shop break room):

  • Essential cookies - needed for the site to function properly. Remember your session, shopping cart if you're ordering parts, that sort of thing.
  • Analytics cookies - help us see which pages get visited most, where people are coming from, how long they stick around. We use this to improve the site.
  • Preference cookies - remember your settings so you don't have to keep selecting them every visit.

Managing cookies: Most browsers let you control cookies through settings. You can block 'em, delete 'em, get notified when they're set. Just know that blocking certain cookies might make the site not work as smoothly.

We don't use creepy tracking stuff that follows you around the entire internet. We're focused on building engines, not building invasive ad profiles.

We're pretty protective of customer data. Here's the only times we'd share your info:

  • Service providers - payment processors, parts suppliers who need shipping details, appointment scheduling platforms. Only what's necessary for them to do their job.
  • Legal requirements - if law enforcement shows up with a proper warrant or court order, we gotta comply. Also for tax reporting when required.
  • With your consent - if you want us to coordinate with another shop or share build photos (with your car), we'll get your OK first.
  • Business transfer - if we ever sold the shop (not planning on it), your records would transfer to the new owners as part of ongoing service commitments.

We're NOT selling lists to marketing companies, sharing data with social media platforms for ad targeting, or doing anything sketchy with your personal details.

Under Canadian privacy laws (specifically PIPEDA), you've got rights when it comes to your personal data:

  • Access - you can ask to see what information we have about you. We'll provide it within a reasonable timeframe.
  • Correction - if something's wrong or outdated, let us know and we'll fix it. Important for service records especially.
  • Deletion - you can request we delete your data, though we might need to keep some records for legal or accounting purposes (usually 7 years for business records).
  • Opt-out - don't wanna get promotional emails? Unsubscribe link's in every message, or just tell us directly.
  • Withdraw consent - if you previously agreed to something, you can change your mind. Might affect our ability to provide certain services though.

To exercise any of these rights, just shoot us an email at info@halrionascendant.info or call (604) 555-7821. We'll respond within 30 days.

If you're not satisfied with how we handle your privacy concerns, you can file a complaint with the Office of the Privacy Commissioner of Canada.

We don't keep your info forever, but we do need to hold onto it for reasonable periods:

  • Active customers - as long as you're bringing your car to us, we maintain your complete service history. It's valuable for tracking mods and diagnosing issues.
  • Inactive customers - if you haven't been in for 3+ years, we'll archive your records. They're still accessible if you come back.
  • Financial records - Canadian tax law requires we keep these for 7 years minimum. Non-negotiable.
  • Marketing lists - if you unsubscribe, you're off the list immediately. We keep a record that you unsubscribed (so we don't accidentally re-add you) but that's it.
  • Website analytics - usually aggregated and anonymized after 26 months.

When we do delete data, it's done securely - digital files are properly erased, paper documents are shredded. We don't just toss stuff in the regular trash.

Our website might link to manufacturer sites, parts suppliers, or other resources. Once you click through to another site, this privacy policy doesn't apply anymore - you're under their rules.

We try to only link to reputable companies, but we're not responsible for their privacy practices. Always good to check their policies if you're concerned about how they handle data.

Social media's the same deal. If we share something on Instagram or Facebook, those platforms have their own data collection methods that're completely separate from what we do.

Service agreements: When we take on your vehicle, we're entering into an agreement. You're trusting us with your machine, and we're committing to do quality work. We'll give you estimates before starting major work, and we won't proceed with additional stuff without your approval.

Payment terms: Payment's due when work's completed unless we've arranged something different. We accept cash, credit cards, and e-transfers. If there's gonna be an issue with payment, talk to us before we start - we're reasonable people.

Warranties: Our workmanship is guaranteed for 90 days. Parts warranties vary by manufacturer - we'll pass those through to you. Custom fabrication work is warrantied against defects in our work, but we can't warranty against normal wear or damage from abuse (yeah, we can usually tell).

Liability: We carry proper insurance and take care of your vehicle while it's in our possession. That said, performance modifications come with inherent risks - increased wear on components, potential reliability trade-offs. We'll be straight with you about these considerations. You're ultimately responsible for how you drive the car after we tune it.

Cancellations: If you need to cancel or reschedule, give us at least 24 hours notice. We schedule our bay time carefully and last-minute cancellations mess up our flow. Custom parts that we order specifically for your build are non-refundable once ordered.

Disputes: If there's an issue with the work, let's talk about it first. Most problems can be sorted out with a conversation. We want you happy with the results - that's how we build reputation in this business.

Performance modifications: Modifications we perform may affect your vehicle's emissions, warranty status with the manufacturer, and insurance coverage. It's your responsibility to check with your insurance company and understand local regulations. Some modifications aren't street-legal everywhere - we'll advise you but ultimately it's on you to comply with laws.

Emissions compliance: We operate in British Columbia and follow provincial regulations. If you're bringing a vehicle from elsewhere or taking it out of province, emission standards might differ. We can't guarantee our work will pass inspection in other jurisdictions.

Use of information: Technical specs, dyno numbers, and performance figures we provide are based on our testing and experience. Real-world results vary depending on driving conditions, fuel quality, maintenance, and a bunch of other factors. We're not making guarantees about specific performance outcomes.

Website content: Info on our site is provided for general information. While we keep it current, stuff changes - prices, part availability, service offerings. Always confirm details directly with us before making decisions.

Limitation of liability: We're liable for our workmanship and will make things right if we screw up. But we're not responsible for consequential damages - like if your modded car breaks down and you miss a track day. Performance parts sometimes fail, even quality ones. That's the nature of pushing machines beyond factory specs.

We might update this privacy policy from time to time - new laws, changes in how we operate, improvements to our systems. When we make significant changes, we'll update the date at the top and let active customers know through email.

Minor tweaks (like fixing typos or clarifying existing practices) won't trigger notifications, but the updated version will always be here on the website.

If you keep using our services after we update the policy, that means you're cool with the changes. If you're not cool with 'em, we should talk before moving forward with any new work.

Questions About Privacy?

Look, this is a lot of text and we get that privacy policies aren't exactly thrilling reading material. If you've got questions or concerns about how we handle your information, just reach out. We'd rather have a 5-minute conversation than have you worried about your data.
